Your privacy is very important to Bespoke Therapy and I want to make sure that you understand how I use your data. One of your first rights is the right to be informed.
The new General Data Protection Regulation (GDPR), is an EU wide legislation, and Bespoke Therapy is compliant with the GDPR and the Data Protection Act 2018 (DPA18).
The new legislation affects Bespoke Therapy and the way in which I handle your personal information/data. Personal data has been defined by the act as ‘any information relating to an identifiable person who can be directly or indirectly identified’, this will include such data as name and contact details but may also include information such as IP Addresses.
Bespoke Therapy will never provide information about you to anyone else and will not be contacting you electronically for any purpose other than to respond to an email.
How I protect your information.
Unfortunately, no data transmission over the internet or any other network can be guaranteed 100% secure. While I strive to protect your personal information, I cannot ensure and do not warrant the security of any information that you transmit to me, and this information is transmitted at your own risk.
Your personal information is stored in secured networks and is only accessible with password protected access to the data by myself and my web design team, Worldwide Webdesign Ltd.
Do we use "cookies"?
The website itself uses session cookies, which are deleted by your web browser when you close it. Session cookies do not carry any Personally Identifiable Information. We use visitor-tracking software to track visitor data. This may set a cookie but this will not carry any Personally Identifiable Information either.
Every time you connect to our website, we store a log of your visit that shows the unique number your machine uses when it is connected to the internet - its IP address. This tells me what your machine has looked at. This data is used for statistical purposes – to help me to understand which areas of the Site are of particular interest and also which pages are not being requested. It also tells how many people are visiting the Site.
When do I collect information from you?
When you email, phone or contact me in any other way.
When you initially contact Bespoke Therapy via the web site, the only personal data held will be the specific information that you include on the enquiry form, I.E. your name, phone number and/or e-mail address.
We will then have a phone discussion to decide if an initial assessment will take place.
If you decide not to have an initial assessment, any contact information will be deleted from the computer, thus removing any record of it.
If you decide to have an initial assessment I will take your full details at this meeting.
Your original contact information will be stored on the computer.
Basic session notes are taken, (with your permission), during each counselling session until the conclusion of your counselling. At this point, they will be stored in a safe and locked place for a minimum of 3 years and a maximum of 7 years, (dependant on current UK law and insurance requirements). After this time your notes will be shredded/destroyed, any email correspondence will be deleted from the computer and hard drive, if applicable.
Through the duration of your counselling, your session notes and any other information will be kept in a locked cabinet.
Bespoke Therapy will not use third-party companies to send emails on its behalf.
All emails sent to you by Bespoke Therapy will clearly identify Bespoke Therapy as the sender.
If you receive an email which claims to come from Bespoke Therapy which does not use this domain, or if you are suspicious that an email may not be an approved Bespoke Therapy email communication, then please send a copy of the email to; email@example.com so it can be investigated.
If during the period of your counselling you send any emails, the information may be printed off and placed in your folder, the email will be stored on the computer.
A log of all completed counselling hours is made, this is a requirement of my governing body, (UKCP). No personal information is included on this log, purely a code number and the total hours completed.
Every counsellor is required by their industries governing body, (UKCP) in My case to have supervision. No personal information is shared during supervision other than a Christian name or code number.
It is also required by the UKCP that supervisors are given a list of current client’s basic details, (Christian name and phone number). The reason, if a counsellor is taken ill and unable to work or contact clients, the supervisor would contact the client and inform them of the situation to discuss the best course of action.
External referrals to Counselling4you, (Bespoke Therapy).
All information sent to Bespoke Therapy from, solicitors, insurance companies, health care companies etc will be kept on a computer.
Any forms/letters containing personal data that must be completed and sent on to the referrer as part of your case will be on an attachment in the relevant email and stored on the computer A copy of the form/letter will also be stored on a separate external hard drive which I alone have access to.
I will only use your data for the purpose for which it was intended. I will not grant access to or share your data with anyone unless I am required to do so by law under lawful data processing.
Receiving a request for your client notes.
I may be asked by the police or solicitors to assist them in a case by releasing client notes. After receiving such a request, I would first seek advice from my professional indemnity insurance provider. If it decided that any information is to be released I would seek your consent to pass on the information, and even if I have this, I would remove any information relating to third parties before releasing the information.
Bespoke Therapy endeavours to hold all personal information securely in accordance with its internal security procedures and English law.
